What You'll Do

As the Office Manager and Executive Assistant to the CEO at Flagstone, you play a pivotal role in ensuring the seamless operation of our organization while directly supporting our Chief Executive Officer. Your responsibilities encompass a wide range of critical tasks that require both administrative finesse and executive-level assistance.

You will be the go to person for our office, overseeing its daily functions, from procurement and vendor management to maintaining a productive, well-organized workspace. In addition, you will serve as the right hand to our CEO, managing their demanding schedule, coordinating meetings and travel arrangements, and handling confidential correspondence. Your commitment to maintaining the highest standards of professionalism, confidentiality, and efficiency will contribute significantly to Flagstone's mission to revolutionize cash deposit management and maintain the highest levels of integrity and ethical conduct. Your responsibilities will include:

  • Overseeing the day-to-day operations of the office, ensuring a well-organized and efficient workspace.
  • Managing the CEO's calendar, scheduling meetings, and coordinating appointments.
  • Handling sensitive and confidential information with the utmost discretion and professionalism.
  • Coordinating and organizing meetings, conferences, and travel arrangements.
  • Assisting in maintaining compliance records, policies, and procedures to ensure regulatory adherence.
  • Serving as a central point of contact for internal and external stakeholders, including staff and vendors.
  • Managing vendor relationships, negotiating contracts, and optimizing cost-effective solutions.
  • Supporting various departments with general administrative tasks as needed.
  • Assisting in the planning and execution of corporate events and meetings.
  • Contributing to a positive office culture and collaborating with colleagues to foster a productive work environment.

What you'll need:

  • Work with the C-Suite to demonstrate the values and desired behaviours of our culture and be a brand ambassador of these for culture, customers and compliance.
  • Ability to work independently, prioritise tasks, and meet deadlines in a fast-paced environment.
  • Fire Marshall and First Aid Certifications
